Privacy Policy

Vocabyx Privacy Policy

Effective date: July 31, 2026

This Privacy Policy explains how Vocabyx ("the App," "we," "us," or "our") collects, uses, stores, and protects your information when you use the Vocabyx mobile application and related services.

1. Who We Are

Vocabyx is an independent language-learning product operated by a private entrepreneur (FOP) in Ukraine.

2. Information We Collect

2.1 Account Data

  • Email address, account credentials, and account identifiers.
  • Profile information, preferences, and account settings that you choose to provide or configure.

2.2 User-Generated Content

Content you create, submit, or otherwise make available through the App, including related titles, text, and media.

Content may be visible to other users where indicated by the App's sharing or visibility controls. Do not include sensitive personal information or confidential information in content you make available to others.

2.3 Device and Diagnostics Data

  • Device model, operating system, and version
  • Crash reports, technical logs, and performance diagnostics
  • App version and performance diagnostics

2.4 Usage Analytics

We use a product analytics provider to collect events that help us understand product performance, App usage, and interaction with the App.

We may use limited session replay and diagnostic tools to reproduce unexpected interface problems. Password and other sensitive input fields are masked; other text displayed in the App can be visible in a replay.

2.5 Support Communications

Information you send us directly through support channels, including your message and any attachments you choose to add.

2.6 Information from Third-Party Services

If you choose to use a third-party service available through the App, that service may share information needed to provide the requested functionality, subject to your settings and its privacy policy.

2.7 Locally Stored App Data

Some App data may be stored locally on your device. Where data is stored only locally and is not available to us:

  • We cannot retrieve, back up, or restore data that remains only on your device.
  • If you delete the App or switch devices, locally stored data can be lost and cannot be recovered.
  • Locally stored data is not included in a data export or deletion request, as it never reaches our servers.

3. How We Use Information

We process information to:

  • Provide, operate, maintain, and improve the App and its services.
  • Manage accounts, user content, and access to the App.
  • Maintain account security and prevent misuse.
  • Investigate crashes and technical issues.
  • Measure product quality and improve features.
  • Respond to support, legal, and data-rights requests.
  • Communicate important changes to the App or this Policy.

4. Legal Bases (Where Applicable)

If you are located in the European Economic Area, the United Kingdom, or another jurisdiction with similar requirements, we rely on the following legal bases under the GDPR or equivalent law:

  • Performance of a contract, to provide the App's core functionality to you as a registered user
  • Legitimate interests, to maintain and improve the App, ensure security, and prevent misuse
  • Consent, where required, such as for optional features
  • Legal obligation, where processing is necessary to comply with the law

5. Data Sharing

We do not sell personal information or share it with advertising partners for advertising or retargeting. We may share data with:

  • Hosting, authentication, and backend infrastructure providers.
  • Crash reporting, performance monitoring, and diagnostics providers. Error reports can include screenshots, view hierarchy, and replay data to help diagnose an unexpected issue.
  • Product analytics providers, including providers of limited session replay.
  • Support communication providers, only to deliver and respond to support requests and attachments you submit.
  • App distribution, sign-in, and purchase platform providers, to the extent necessary to provide those services.
  • Other users or the public, where you make User Content available through the App.
  • Authorities, if required by law, regulation, legal process, or governmental request.
  • A successor entity, in connection with a merger, acquisition, or sale of assets, subject to standard confidentiality protections.

Each of these providers processes data under their own privacy and security terms, and we only share what is necessary for them to perform their function.

6. Data Retention

We keep personal data only as long as needed for the purposes described in this Policy, unless a longer retention period is required by law or necessary to resolve disputes, enforce agreements, or prevent abuse.

If you delete your account, we delete active account data. Residual copies can remain temporarily in backups and technical logs before automatic removal under their respective retention schedules.

Support requests and attachments are retained only for as long as reasonably needed to resolve the request, maintain support records, or meet legal obligations.

7. Your Rights

Depending on your location, you may have the right to:

  • Access, request a copy of the personal data we hold about you.
  • Correction, request that we correct inaccurate or incomplete data.
  • Deletion, request that we delete your account and associated personal data.
  • Portability, request your data in a structured, commonly used format.
  • Object or restrict, object to or request restriction of certain processing.
  • Withdraw consent, where processing is based on consent, at any time.

You can exercise most of these rights directly within the App, such as editing your profile or deleting your account in Settings. For any other request, contact us at vocabyx.support@gmail.com.

Please note that locally stored App data described in Section 2.7 is not held on our servers, so a deletion or access request to us will not affect this data. You can clear it yourself by uninstalling the App or clearing its local storage on your device.

If you are an EEA/UK resident, you also have the right to lodge a complaint with your local data protection supervisory authority.

8. Device Permissions

The App may request access to your camera or photo library only when you choose to take, select, or attach an image in the App. We use that access only to provide the action you initiate.

9. Security

We apply reasonable administrative, technical, and organizational safeguards to protect information, including encrypted password storage and secure data transmission, such as HTTPS/TLS.

However, no system can be guaranteed as completely secure.

10. Children's Privacy

Vocabyx is not intended for children under 13, or the minimum age required by your country's law, without parental or guardian authorization.

We do not knowingly collect personal information from children under this age. If you believe a child has provided us with personal information, please contact us so we can promptly delete it.

11. International Data Transfers

Your data may be processed in countries other than your own, including countries with different data protection laws. Where applicable, we use safeguards designed to protect personal information in cross-border transfers.

12. Third-Party Links and Services

The App may contain links to third-party websites or services. We are not responsible for the privacy practices of these third parties, and we encourage you to review their respective privacy policies.

13. Policy Updates

We may update this Privacy Policy from time to time to reflect changes in our practices, the App, or for legal reasons.

Material changes will be reflected by updating the effective date above and, where required, by providing additional notice. Continued use of the App after such changes constitutes acceptance of the revised Policy.
